Chair of Committee – Golf

 1. Mandate.

  • Hold 1st class golf tournament to raise funds for CF and promote fellowship between members

2. Committee Formation

  • Create a committee and assign responsibilities assuring that everyone is clear of their role as well as the responsibility of others
    • Title, Hole and Dinner Sponsorship
    • Draw prizes
    • Player gift and associated sponsor
    • Registration
  • Systemize the event as much as possible, allowing new chairperson and new committee members to build on past procedures and events

3. Summary of Duties

  • Assign a golf course which has the capability of catering to a large number of participants
  • Format of tournament is best ball (scramble), shot gun start.
    • Rules need to be communicated to participants
    • Score of foursome needs to be handed in at end of tournament
    • Contest on course, need to be communicated to participants
      • Hole in One, Longest drive, etc….
  • Set up forms for registration, produce the program for the evening and set up advertising schedule to members for the event – email broadcast
    • Previous years example’s are good guidelines to follow
    • Set deadlines on other committees, so that you can have a lists of sponsors, holes, gifts, prizes, etc….for inclusion in registration and program forms
    • Advertise event in the Calendar, eConnection, and eBlasts that go out to members
    • Allow time for proofing of materials by communications chair, before sending out to members
  • Gifts and Prizes
    • Door prizes are given to each participant – approx. 144 prizes needed
    • Each prize should be between $20 and $40. Larger amount prizes can be used for raffle or auxiliary events on the course
    • Letter of donation should be sent out early in the year, followed by a follow up call if needed
    • Experience indicates that once a member donates a prize, they will always donate.
    • It is important to follow up with a Thank You letter, soon after the tournament
    • The Secretariat will send out the letter on your behalf, you must prepare the draft letter.
    • Best way to distribute gifts is by drawing numbers, which were set up at the door prior to supper. All gifts must be numbered. This process is time efficient and everyone is treated equally.
    • Prize selection for tournament winner, runner-up, and longest drive, closest to the pin, etc…needs to be done as the prizes come in.
  • Registration for Tournament
    • The Secretariat looks after taking registrations – collect registration fee, participants names, and putting together foursomes
    • Committee needs to work closely with secretariat to make sure tournament is a sell out.
    • Need to direct secretariat as to when to send out promotion materials for event
  • Hole sponsorship
    • Need to sell 18 tee box and 18 green sponsors
    • Work with the Secretariat to have letters sent out to previous years sponsors and report back to the Secretariat your sales on a regular basis
    • Make sure old signs are reusable and allow enough lead time for new signs to be created
    • Meet with the Pro Shop staff two hours before start of tournament with a list of your sponsors, signs, and instructions so they can place signs on course for you
  • Cystic fibrosis
    • Usually a member of the charity will assist with the tournament; in the past this has been Harold Moore, who is also a member.
    • A list of participants needs to be given to the charity, to coordinate distribution of tax receipts
