Director – Sponsorship

 1. Mandate.

• To coordinate Advocis Ottawa’s sponsorship program
• To support committees in attracting and meeting the needs of the sponsors
• The annual budget for this committee is $2000, or 4% of sponsorship revenue

2. Committee Formation

• The goal is to have a Chair and two committee members assigned to oversee the three main sponsorship areas
  • Annual sponsorship program
  • PD days
  • Sub Committee events – CF Breakfast, Curling Bonspiel, Golf Tournament and Calendar

3. Summary of Duties

• Prepare written report for board meetings, and attend monthly board meeting
• Responsible for document outlining of sponsorship program. Review contents as required. Distribute to membership once per year and coordinate sponsorship program
• Identify sponsorship prospects for the year, and keep a running list of who has been approached and their response to the program.
• Have secretariat keep track on a electronic spreadsheet those companies who have purchased sponsorships, the level, and whether payment has been received.
• Work with committees seeking sponsorship to ensure proper communications of sponsorship program and the benefits received by sponsors
• Communicate with the secretariat to ensure invoicing takes place on the 15 and 30th of every month for sponsorship services sold
• It is not the sole responsibility of the sponsorship committee to source sponsors for Advocis Ottawa Chapter; it is a shared responsibility between committees and the Sponsorship Committee to source and approach potential sponsors
• Have banners/or promotional materials produced and displayed at all events.
• Work with committees to ensure proper communications of sponsorship program, and that benefits are delivered. Liaise with sponsor.
• Coordinate an appropriate method of thanking sponsors

4. Sponsorship Guidelines

• Currently there are 4 levels of sponsorship: Platinum, Gold, and Silver and a la carte
• The Platinum Sponsorship Package is for those distinguished partners who wish to be associated with every Advocis Ottawa Chapter event, as well as have title signage opportunities on all our in house media (usually MGA’s, insurance companies and fund companies)
• Gold Sponsorship Packages
• Silver Sponsorship Packages
• A la carte Sponsorship provides sponsorship for specific items

• Spreadsheet tracking sponsorship sales and payments
