Treasurer’s role
1. Mandate.
- To oversee the recordkeeping of all monetary transactions
- Work with all Committees and the secretariat to oversee monies collected and expended
2. Committee Formation
- The Treasurer does not traditionally form a committee but it is good to have an understudy
3. Summary of Duties Monthly
- Prepare written report for each meeting of the Board providing a summary of the financial position of the Chapter, financial results year to date, and any concerns or issues related to financial management and control
- Ensure all funds received are deposited on a timely fashion by the Secretariat
- Approve payment voucher indicating payee, amount and accounting distribution of all invoices
- Ensure all accounting information is entered into Advocis online bookkeeping system
- Review monthly financial statements prepared by National and present to Board
- Items board would like to see presented to them
- Balance in concentration account
- Balance in investment account
- Yearly income statement – is the association on track – projected expenses vs. actual
- Outstanding invoices – are there any actions that need to be taken
- Items board would like to see presented to them
- Review outstanding accounts receivable with the secretariat and decide on what action needs to be taken
- Prepare annual budget for approval by the Board and obtain input from all Committee Directors
- Oversee the preparation of the annual financial statements for the year ended December 31st
- Supervise accounting and financial responsibilities of the Secretariat – see annual contract and ensure all functions are carried out in a timely fashion.
